AI for banks, credit unions and lenders. Loan files checked on arrival. Every approval on the record.

Loan processing and onboarding teams at community banks, regional banks, credit unions, and lenders run on loan packages, onboarding documents, and back-office requests that must hold up to review. Webaroo builds agents that check every document on arrival, route every file in policy order, and log every step, without replacing your core.

Your control
A person approves anything that moves money or access. Your team can cut off our access in one step.

Where it breaks. Three places the work piles up.

  1. 01/03

Loan document review waits on the slowest document

Tax returns, rent rolls, appraisals, and entity documents come in across emails and uploads. Someone tracks what is missing in a spreadsheet, and the file waits on the slowest item.

  2. 02/03

New accounts wait on an onboarding packet

Identity documents, entity documents, and beneficial ownership forms are checked against the required list by hand. An expired ID or a missing signature sends the packet back days later.

  3. 03/03

Account changes and exceptions move by email

Maintenance requests, payoff letters, and policy exceptions are approved in inboxes. The audit trail is whatever someone remembered to save.

What fits. The products that take each problem off your desk.

  • Document Intake

Loan inbox / Package rules / Nine documents read / Credit analyst

Takes the first pass of loan document review: reads each loan package and onboarding packet into fields with a confidence score, checks it against the required list, and flags what is missing or expired, with the reason, before a person opens the file.

  • Steps run along one line. Approvals fork off to a person and come back.

Credit policy rules / Loan type matched / Required documents list

    Workflow Agent

Routes each file and back-office request through review in the order your policy requires, waits for a named approver, and updates the system of record only after they confirm.

    FDE Pod

A pod of forward-deployed engineers, a pod lead and engineers who work inside your business, connects both agents to the core and loan systems you already run, without replacing them, and takes the next workflows from the plan. The first workflow is measured at the production checkpoint.

Request

The package lands in the loan inbox

A relationship manager forwards a borrower's package for a loan on a mixed-use building: entity documents, three years of tax returns, a rent roll, the guarantor's personal financial statement, and a guarantor ID. Document Intake splits it into nine documents and reads each one into fields with a confidence score.

Full package attached for the mixed-use building loan. The borrower wants to close in 30 days.

Knowledge

The checklist comes from the credit policy

The Workflow Agent matches the loan type to the rules your team wrote down from the credit policy: the required documents and the approved exceptions for that loan type. The package is checked against the current list, not someone's memory, and the match is written to the log.

Sources

Credit policy. Required documents list. Approved exceptions list.

Workflow Agent

Credit policy rules / Loan type matched / Required documents list

Action

The package is checked the day it lands

Document Intake checks the fields against the required list and flags two items: the operating agreement is missing and the guarantor ID has expired. The relationship manager sends the borrower a request for both the same day, each with the reason.

Draft

Back to the borrower: the operating agreement and a current guarantor ID

Document Intake

Borrower package / Required documents list / Two items flagged / Fields on file

Handoff

A person approves, and only then does it post

Once the operating agreement and a current guarantor ID are in, the Workflow Agent moves the file through review in policy order. The credit officer sees the extracted fields, the source pages, and the log, then approves, declines, or sends it back. Nothing posts to the loan system until they approve.

The pattern.

Illustrative

A regional bank or credit union whose loan packages and onboarding packets are checked by hand against a required list, and whose approvals move by email. Document Intake checks the documents, the Workflow Agent routes each file in policy order, and an FDE Pod connects both to the core and loan systems.

Where we start

In ten days, the assessment maps the top 3 workflows with today's numbers, such as loan document review or new-account onboarding: the hours, the handoffs, and the days a file waits. You get an AI inventory, risk tiers, and a 90-day plan. A single build or an FDE Pod then takes the first workflow to production on the core and loan systems you already run, with no AI team to hire, measured at the production checkpoint. A single-workflow build is a fixed fee for a defined scope, quoted on a call.

How the controls work

Approved sources only

The agent reads the folders and documents you share with it and nothing else. Add a folder and it is in scope. Remove it and it is out.

Every step is logged

Questions, answers, extracted fields, reviewer decisions, and posts to your systems are written to a log your team can read. When a reviewer asks how a number got there, the answer is a record, not a recollection.

A person approves by default

The agent drafts, extracts, and proposes. By default, a named approver confirms before anything is written to a system of record. If you later choose to auto-approve a document type, it applies only above a confidence threshold you set in writing, and every auto-approved record is still logged.

What owners ask before the first call.

Start with Document Intake so loan packages and onboarding packets are checked the day they arrive. Add the Workflow Agent when approvals must move in policy order with a log. When several workflows and the connection to your core are the job, an FDE Pod builds them together.

No. Webaroo is your AI integrator and operator: we build and run AI inside mid-market companies. Ask Roo, Webaroo's AI, for a straight answer first, or book 15 minutes with Connor Murphy, our Founder and CEO. If there is a fit, the paid 10-day AI readiness assessment picks the top 3 workflows with today's numbers.

AI consultant vs AI integrator vs AI operator

No. The agents connect through the paths your core or loan system vendor supports, such as an API or the files the system already exports, and the system stays in place. Your IT team grants each connection, and nothing writes until your rulebook, the written rules your team approves for each agent, allows it and, by default, a named approver confirms the record.

How we connect AI to the systems you already run

No. The agents read, check, route, and draft. Your credit officers decide on every loan and every policy exception, and your operations staff decide on every new account. Document Intake shows the reviewer the source page and a confidence score for every field, and flags what is missing or expired with a reason. By default, a named approver confirms on Slack or Teams before anything posts, and the approval, the approver, and the time are logged.

Before launch and before every change, each agent runs against a fixed set of real requests from your business. If the new version answers worse on your cases, it does not go out. When a provider retires a model, the replacement runs against the same set before we switch.

Yes. Bring your vendor review requirements to the first call, and we will go through them with you there. We deploy and operate directly within your existing security perimeter, implementing NIST AI RMF and SOC 2-aligned controls. Network security, IAM and endpoint security remain the exclusive responsibility of your team or your MSSP. An MSSP is a managed security service provider. We work only through access your team grants in your SSO and IAM, scoped per person and agent, and your team can cut off our access in one step. The agents read only the sources you approve, and every action an agent takes is logged where your team can read it.

How we handle your data

Webaroo's AI readiness assessment takes ten days and delivers an AI inventory, risk tiers, the top 3 workflows with today's numbers and a 90-day plan. An FDE Pod has a checkpoint at day 90 for a small pod or day 120 for a large pod.

Yes. Since January 2026, insurers can exclude generative AI from general liability at renewal, on ISO forms CG 40 47, CG 40 48 and CG 35 08 (Risk Specialty Group). Coverage questions stay with your broker.
