How we work. Every pod is measured at day 90 or 120.

A Webaroo pod is a team of forward-deployed engineers who build inside your company. At day 90 or 120 its work is measured against the number from your assessment, such as cost per invoice or hours of manual work a week. Then our dedicated support and maintenance team keeps it running.

Ask Roo: What would the day 90 checkpoint measure for us?

A week in a pod.

  1. During the week

Every change runs the same six steps

Ticket, pull request, CI (the automated checks that run on every change), review, merge, deploy. Tests run on every pull request, a person reviews before merge, and each step is logged with who did it.

  2. Monthly

One page for your executive team

What the system handled, what it cost by workflow, what changed, and what we recommend next. The numbers come from your systems, not ours. If a number moved the wrong way, it is on the page with the reason.

The checkpoints.

  1. Day 90

The production checkpoint for a small pod. The work is measured against the number from the assessment, on a metric your finance team already tracks. You see the result and decide what the pod builds next.

  2. Day 120

The production checkpoint for a large pod. Same measurement and same decision as day 90, with more systems in scope.

  3. Month 12

End of term. Renew the pod, add a second one, or take the handoff and run it yourself.

How decisions get made.

  • The backlog is the contract.Nothing starts on a verbal ask. Every ticket is written where you can see it, and it closes when the change is running in production.
  • One person on each side can say yes.You name a backlog owner who can reorder, approve, or stop work. The pod lead is the one person on ours. Nobody waits on a committee.
  • A person approves anything that moves money or access.Agents write code and propose actions. A named person says yes. The log shows both the proposal and the approval.
  • We agree the scope, then the fee.Work inside the agreed scope is covered.
  • Decisions are written down. Each one from a working session is logged with who made it.
  • A model change is tested on your own real cases before it goes live. These tests are your evals: if the new version answers worse on them, it does not ship.
  • We are measured against the number from the assessment, on your metrics.

What operator means in practice

An operator stays on the system after launch and is judged on whether it still works months later.

After launch, that means our dedicated support and maintenance team watches it, runs your evals before every change, and tracks cost by workflow.

It also means saying no. We will not quote a pod before the assessment. We will not ship an agent that acts on money or access without a person in the loop. We will not bill a change order for work inside the agreed scope.

Where we already operate

Vluxure: Webaroo built the member platform and runs the technology behind the club.

What owners ask before the first call.

A Webaroo pod ships through a ticket, pull request, review, and deploy loop during the week. Every month your executive team gets a one-page report.

What a forward-deployed engineer does all week

You name one backlog owner who can reorder, approve, or stop work, and the pod lead is the single decision maker on our side. Anything that moves money or access waits for a named approver on your team, and open items are decided in a working session rather than deferred.

Questions to ask before you hire an AI firm

Small pods reach the production checkpoint at day 90 and large pods at day 120. The work is measured against the number from the assessment, on a metric your finance team already tracks, and you decide what the pod builds next.

Day 90: what a production checkpoint means

At Webaroo, an operator stays on the system after launch and is judged on whether it still works months later. Our dedicated support and maintenance team checks every model change against your evals, the tests built from your own real cases, and tracks cost per workflow.

AI consultant vs AI integrator vs AI operator

One backlog owner who can say yes. The pod writes runbooks for deploy, rollback, restore, and secret rotation so your team can run the system later.
